In order for CondoSites to build and host your new website, you'll need to have a domain for your association. A domain is your address on the internet, e.g. communityname.com

Need a domain? CondoSites will register your domain name for you and its registration and renewal costs are included with your monthly hosting and service fee. This way, you don't have to worry about renewal and administrative tasks. Should you ever cancel with us, you are welcome to keep your domain.

Have a domain name already? You can either retain control of it through your existing domain provider (a.k.a. domain registrar) and continue to pay for it yourself; or you can transfer the domain to us with our written assurance that we'll transfer the domain name back to you, subject to ICANN rules and restrictions, whenever you want at cost (if there are transfer fees).

A domain directs visitors to your site, but the website and our software is stored on a server. This is known as Hosting. We host all websites and their content on our own server and you never need to worry about it, as server hosting costs are included in your monthly subscription.

CondoSites ensures that your entire website (documents, photos, databases, archives, and the most recent version of all your dynamic content) is regularly backed up, just in case. Backups are performed twice per week, and the backup file is uploaded over an encrypted connection to a data server across the country. This ensures that should a disaster occur where our server is located, the backup is safe in its distant location.

Many people experience visual impairments but are still able to use computers, smartphones, and tablets through assistive technology hardware and software; also, older populations are among an increasing population relying on this technology.

CondoSites is designed to be compatible with the accessibility tools built into your browser and operating system including High Contrast Modes, Link Focusing, and Zoom Shortcuts such as Command +/- (Mac) and Ctrl +/- (Windows). Full compatibility also requires that your content be accessible. This includes having all of your "Image Only" scanned documents replaced with actual text character-based documents.

Our websites look beautiful and are fully functional on a computer, tablet, or smart phone. Through Responsive Design Architecture the layout of the website adapts to the size of the user's screen automatically, with no apps to download.

In addition to your website, you can keep your residents informed through Digital Signage (a.k.a. Digital Information Display) in your common areas. Digital Information Display from CondoSites is the perfect compliment to your community website and blast email campaigns. Simply connect our signage player to a commercial display and you're off! There is no software to configure, and the content populates automatically from your website's database. When both the master association and sub-associations use CondoSites, we make it easier for the end user to stay informed. Through our Master Association Integration (MAI), content from the master association's website is automatically injected into the sub-association's site, eliminating the need for the user to visit two websites. Further, the master association can mass email some or all of the integrated sub-associations without having to maintain their own database of users.

All areas - from back-end interfaces, to the end-user experience - is secured with industry standard SSL encryption on your community's domain.

CondoSites' unique two-page layout is designed to keep your website content private and secure. The Home Page, where most associations post basic, non-secure information about their community, is the only area accessible to the public. From there, members must login to gain access to the rest of the site.

With the login method, users must register to get a personal username and password. As they do, their basic personal information is stored on the website's database, which then gives them access to the website's database-connected functions and features.

CondoSites makes it easy for registered members to recover their forgotten password. They simply click on a link below the login fields on the home page, enter their login email address, and click submit. The information to reset their password is automatically sent to them by email.

Additionally, the administrator can help users with forgotten or obsolete login email addresses, and can always initiate a password reset.

Your website administrator can control the types of content members can view by associating a role (owner, renter, or realtor) with their User Account.

The viewing of financial information, for example, can be restricted to owners, while governing documents can be made viewable to renters and realtors (as required in some states), as well as to owners.

The Home page of your website contains the login fields through which registered visitors access your member-only information. The rest of the page can be used to display your welcome message and any information of interest to the general public.

You can also include links to information of interest to potential buyers, such as units for sale or rent, floor plans, photos of the property, and pages detailing your amenities or concierge services.

CondoSites leads the industry in easy website navigation. With our unique, two-page layout, once users login to the site, they are always just a click away from any new or current information they wish to view.

Our secret? Lightbox technology. Just click on any link: a window opens, displaying the content you want. Click it shut and the window disappears, leaving you right where you were with ready access to everything.

The navigation column of your website is comprised of information modules, folders, documents and photos which are managed by the administrator/liaison through control panels.

• A module displays information through a pre-designed layout such as a photo gallery, map or directory.

• A folder opens to a choice of two or more related content items.

Prominently positioned on your website's interior page, the Newsboard displays announcements, news briefs, and other timely information of interest to members.

Authorized groups can upload items and schedule them to post or expire at a specified date. Postings can include links to documents, photos, email addresses, iFrame content, and other websites.

Want to add folders not already pre-loaded onto your site--perhaps an "Architectural Review Committee" folder which can contain rules and applications about the process? You can create additional folders for any purpose, any time you want in the Folders control panel.

Planning to provide users with a wealth of information? CondoSites allows you to upload and store as many documents as you want in formats: Adobe PDF, Microsoft Word and Excel, JPEG, and more.

Depending on your type of community, you may want include information such as pool rules, emergency evacuation plans, meeting minutes and financials.

We suggest you keep the size of documents you upload as small as possible for fast, easy downloading by your users. Each document is limited in size to 3.5MB. We'll help you with governing documents, insurance binders, and reserve studies which often exceed this size based on the number of pages.

You can add any additional external links you'd like to include on your website. A popular option, for instance, is a links to neighborhood services, stores, or neighborhood websites.

Every member of the community will create a user account to access the site. That user account will contain contact data (name, unit address, phone, email, etc.) that enables you to take full advantage of the website's features and functions. For example:

• By assigning each website user to a particular group (owner, renter, realtor), the administrator can control which documents, modules, folders, and other content they can view.

• By having each website user's personal information in the database, the administrator can ensure that any form they use (for maintenance requests, violation reports, facility rental requests, etc.) will automatically fill in their personal information as needed.

Rest assured, CondoSites only collects the most basic of user information to assist you and the user in receiving service from the site. Further, data is password-protected and is only transmitted over encrypted SSL connections.

With this feature, users can opt to view updates to the association website - e.g., news items, announcements, scheduled events, new or updated document postings, and more-on their RSS client. It mitigates the need to visit the community website on a frequent basis to learn what's new.

Note: many types of RSS clients (the media through which RSS feeds can be viewed) are available on Web browsers, mobile devices, websites, and specialty client applications and they're all free.

If a picture says a thousand words, imagine what a video can do! While CondoSites doesn't directly support uploading videos, it's still easy to add them to your Newsboard Articles and Custom Modules.

CondoSites will customize the home page of your new website to give it the unique look and feel of your community. Just send us your logo and a selection of high resolution photos of your community, its interior and exterior amenities, scenic views and the neighborhood. We'll incorporate them into a "skin" which will be used throughout the site, as well as on your home page.

Don't have photos of your community? If you don't have digital images of your community, or if you'd rather not include actual photos of your property, we can acquire stock photographs for you to give your site an attractive look without delaying launch. We can even give you tips on on acquiring professional photos for little to no cost. Ask us for more details.

Our content management system is refreshingly simple and intuitive to use. We'll introduce you to it through a short series of orientation videos and follow up with one-on-one web-conference sessions, which usually requires no more than 60 minutes. We understand that everyone learns in different ways. Some learn by reading, some by doing, and others by watching. If you are having trouble understanding a feature, we offer one-on-one and small group training and support via virtual conference.

Both before and after you launch, we'll keep an eye on changes to your website. If we notice anything that suggests you may be having some difficulty, we'll contact you right away to sort out the situation.

In addition to early stage monitoring, we'll check in with you periodically to provide you with any assistance you may need.

Our Health Reporting feature keeps an eye on your content changes and user actions and alerts you when specific actions are required, or new and additional content is needed. A monthly email is also sent to Full Administrators with this information. It's like having an extra team member looking out for you.

Usage Metrics or Insights (as we call it) provides you with helpful information such as how often a document has been downloaded, a form has been submitted, or a module was opened. And, these insights are displayed directly in the control panels where you manage those items. This real time data will provide administrators, board members, and management with a valuable look at the content users are engaging with most often. This insight will enable you to post more of the content users want and remove information that isn't of interest.

Notifications requiring the actions of an administrator are automatically emailed to the contact of your choice in real time.

If your association doesn't have the time or human resources available to populate your site with content or maintain ongoing content, you may be interested in one of our Authorized Content Services Managers, a contractor available for hire who can assist you with setting up and/or maintaining your site.

These contractors are specially trained by us and they have priority access to us when they need assistance. It's like having your own personal assistant aiding you with your website and communication needs.

If you're looking for custom email accounts so you can send and receive emails from your website's domain, then we recommend adding email account hosting through a 3rd party.

Email accounts allow you to send and receive individual emails to anyone from an email address at your domain (e.g. president@community.com).

With or without an email account provider, you'll still be able to send bulk emails to the association using the Messages control panel. Replies will be sent to a pre-defined recipient, typically a Full Administrator, Board Member, or Community Manager.

Communities that take advantage of a 3rd Party Email Account provider must host their domain in their own domain registrar account. We use and recommend GoDaddy.

CondoSites can not assist with the setup or administration of 3rd Party Email Accounts. The respective company will assist with their product and we recommend hiring an IT professional to setup email account services and even configure the account on individual devices if needed.

While your DID Player is being shipped, we will setup and link our feed to the player. This means that your DID Player will work right out of the box without the need to configure any software! Upon arrival, simply connect the player to the internet with an Ethernet cable, to the display via HDMI cable, and power with the included power adapter, and you're off.

When you upload a document to the website, it is referenced on a special carousel slide. The slide displays the names of the five most recently uploaded documents. This informs residents, allowing them to then visit the website to view the document.

Users can opt-in to have delivered packages displayed on the display, allowing them to see when they have a package waiting.

Communities can place the packages carousel on a dedicated landscape display, or on one of the two carousels on a portrait display.

Digital Information Display also shows the current temperature and conditions, and there is a 3-day forecast on one of the carousel slides.

This service allows users to submit Service and Maintenance requests through the website. The requests can then be viewed and commented on by management, staff, board members, and optionally other users in the same unit. These groups can also track the status of requests, in addition to viewing history and the amount of time it takes for requests to be completed.

The module now supports photos and document attachments making the feature even more powerful.

Property staff can use the Package Log & Notification Module to log the receipt of packages or other deliveries for residents on a form within the website and have email notifications immediately sent to website-registered users.

Members can submit miscellaneous requests to their on-site concierge for things such as town car reservations, package pickups, and theater or event ticket research through this email form.

Members can request a time-limited guest-parking pass through this email form.

In addition to the resident's contact information, the form's fields include desired start-and-end of parking dates, the visitor's license plate number, vehicle make, model, year and color, and the reason for the need to use the parking space.

When the form is submitted, it is routed directly to its intended recipient, as pre-designated by the administrator.

For communities with seasonal occupancy, this email form alerts management on the arrival and departure of occupants in advance, allowing them to prepare the unit accordingly.

Members can use this email form to grant a specified individual, such as a maintenance manager, realtor, relative or friend, limited-time egress to their home.

In addition to its data fields, the form includes a "terms of use" section that you can use to specify your community's rules and policies regarding permissions to enter. Since this content is intended to be left unchanged, CondoSites controls the terms of use box and inserts the copy for you.

The Board of Directors, Property Staff, and Committee modules contains information for each of your association's board members, staff members, and committee members respectfully. Listed individuals can choose to include as much or as little personal information as they want: name, title, photo, contact information, educational background, employment history, brief bios, and more.

The concierge section of your navigation column includes a business directory, and you may also choose to display a vendor sub-list. The administrator and other authorized groups can use it to post contact information for local vendors, service providers, restaurants, entertainment venues, sports facilities, government agencies, and more.

Some associations allow members to post their personal services (e.g., baby sitting, pet walking, tutoring, etc.), as well as classified ads, either for free or for a modest monthly fee.

Note: CondoSites will fully support the uploading of text and graphics such as logos or coupons, as well as photos and videos, to the business directory. To preserve the community feel of the website, however, we do not permit the posting of banner ads or pay-per-click ads.

Owner and Resident users can access a directory of other registered users. Each user controls whether to display their email address and phone number, removing the responsibility from the association and management.

Through the Calendar of Events module, you can provide visitors with information about upcoming meetings, community events, town events, and other scheduled events such as property repainting projects or road repairs.

You can attach supplemental documents for any given event, such as an agenda for a particular meeting, as well as links for email addresses, photos, videos and websites. You can also provide an email link so users can send an event-related message to the administrator or other assigned key contact.

Events that include dates and times will display "Add to Calendar" buttons so users can download them to their Google, Outlook, iCal, Yahoo! or other calendar.

Through the meeting dates module, you can provide users with information about upcoming association meetings, committee meetings, or any other type of community meetings.

You can attach supplemental documents for any given event, such as an agenda for a particular meeting, as well as links for email addresses, photos, videos and websites. You can also provide an email link so users can send an event-related message to the administrator or other assigned key contact.

Events that include dates and times will display "Add to Calendar" buttons so users can download them to their Google, Outlook, iCal, Yahoo! or other calendar.

Through the Utilities and Local Links module, you can give users quick access to contact information for local utility companies, newspapers, Internet and cable TV providers, and other frequently contacted businesses, organizations and government agencies. It's an especially helpful feature for new residents.

Note: Once you provide us with the companies or agencies you wish to include, CondoSites will gladly obtain their logos and upload them for you.

Through the Photos of the Community folder, you can show off your community to realtors, potential owners or renters, or guests.

If you're looking for custom email accounts so you can send and receive emails from your website's domain, then we recommend adding email account hosting through a 3rd party.

Email accounts allow you to send and receive individual emails to anyone from an email address at your domain (e.g. president@community.com).

With or without an email account provider, you'll still be able to send bulk emails to the association using the Messages control panel. Replies will be sent to a pre-defined recipient, typically a Full Administrator, Board Member, or Community Manager.

Communities that take advantage of a 3rd Party Email Account provider must host their domain in their own domain registrar account. We use and recommend GoDaddy.

CondoSites can not assist with the setup or administration of 3rd Party Email Accounts. The respective company will assist with their product and we recommend hiring an IT professional to setup email account services and even configure the account on individual devices if needed.
